Meeting Room Bookings
There are two types of meeting rooms for booking at GZIC, one is free of charge, the other requires payment for use.
1.Free Meeting Rooms Booking - for Campus Faculty and Students only:
GZIC offers some meeting rooms free of charge without extra service such as tea, water etc. Faculty and students can book such meeting rooms directly through the WeChat app 'GZIC Smart Service'.
How to book?
The processes are as follows:
Search “GZIC” in your WeChat, then you will see “智慧服务”('GZIC Smart Service');
Open 'GZIC Smart Service', you will see the page shows the room booking list you have booked before(If you have never booked any rooms, it may not show the list) ;
Press the red button “undefined”;
Click the (I have read the regulations and promise to follow), and press the red button “立即预定”(Booking);
Choose the meeting room (please mind the room capacity and facilities you are going to use);
Choose the date and time slot, then you will see whether the room is free or not. If you see ¥0 in the right column of “undefined”, the room is free of charge;
Press the red button “立即预约(Booking) ”, then wait for approval. Normally your booking process is completed.
Tips: Upon approval, the room shall be used at the scheduled time. If cancellation is necessary, please cancel the reservation promptly via the app.
2.Meeting Rooms(required payment for use) Booking - For Campus Faculty and Students or External Applicants:
Some of the meeting rooms at GZIC are charged for extra service such as tea, water, facilities, etc.
To book a meeting room required payment for use, apart from doing the same processes as the free meeting room booking, you shall download and complete the Guangzhou International Campus Meeting Room Reservation Application Form at least three working days in advance. The form must be signed by the head of your unit and stamped with an official seal. Then submit the completed form to the Student-Faculty Service Center, C3-b2 Building, International Campus, and email a scanned copy to Mr. Du Wen via duwen@scut.edu.cn for approval.
After approval and payment confirmed by the International Campus Administrative Office , the room can be used as scheduled time. For more detailed information, please call Mr. Du Wen via 020-81181666.
Payment Process:
Internal Units (School Transfers):
Select Internal Transfer during booking.
Pay via the university financial system under Project Transfer → International Campus Meeting Venue Rental.
Email the transfer receipt to duwen@scut.edu.cn.
External Units:
Pay via WeChat Transfer.
For invoices, provide payment details after transfer. E-invoices will be issued within 1-2 weeks and sent via email.

2. How to Book
a) Online reservations must be made at least 2 days in advance.
b) Faculty and students organizing events must submit the Application Form for Sports Venues to Administrative Office at least 7 days in advance.
3. Venue Usage Regulations
Please show the booking and ID details to the staff of the venue before entry;
Training sessions, events, or any other activities are not permitted without a prior reservation.
Unauthorized use of empty courts or side courts for training or other activities is not allowed.
Wearing sports shoes are necessary. Smoking, gum, beverages, littering, or spitting are prohibited.
Compensation required for any facility damage.

4. Important Notes
Unpaid bookings will be automatically canceled within 5 minutes.
For outdoor venues users, if meeting unfavorable weather and cannot use the venue, please call 020-81181000.
Any violation to the venue regulations may result in a 6-month for booking prohibition.
If the number of external users are over 50% , external rates may be charged.
If students/staff resell slots to the other external parties, will face a 6-month booking prohibition .
